In detail
1. Joining Policy
1a. When new students join, there will be an introduction meeting that will take place to ensure that parents/guardians are clear how tuition works and that their needs of tuition can be met.
1b. Here lesson times, costs of lessons, additional needs will be discussed. A registration fee (non-refundable) will be required to be paid on the first lesson with the lesson fee. Without this, lessons will not be given.
1c. Due to Covid, No verbal feedback will be given at the entry door. Feedback can be booked via a phone call appointment or via text message. Regular feed back for secondary students can be provided monthly or termly.
2. Payment of lessons
Payment of lessons must be done on the day of the lesson. If there is any issue or circumstance that prevents you from paying for a lesson, you must inform us before the lesson. There is an additional £10 charge added to a lesson fee for any lesson that is not paid on time. This is a non negotiable term, failure to pay this will result in lessons being stopped.
2.1 Online lessons will have to be paid for, 24 HOURS BEFORE the lesson begins. Failure to do this will mean that virtual class codes will not be sent to you.
3. Lesson Cancellation Policy
3a. When your lessons times and day(s) have been confirmed and booked, you must give at least 48hours notice (A FULL DAY - before 3PM on the previous day), not during the late evening of the previous day) that is if you need to change it, not cancel.
If you do not do this, then a full charge of your lesson fee will have to be paid for.
3b. However; in exceptional circumstances this will be wavered, such as being hospitalised or a sudden family death.
If you have to change a lesson, another lesson will be given to you, this is to ensure that you do not miss out on your personalised learning, you need to attend this.
3c. Simply cancelling the lesson is not acceptable, this is due to waiting lists of students who want to join and want to book lessons. If you need to cancel a lesson 2 weeks notice is needed, this must be mutually agreed by us and you together.
3d. If you miss more than 2 lessons in a row, you will have to repay your registration fee, unless there are exceptional circumstances.
3e. Lesson punctuality is always important. Students need to arrive on time and need to leave on time. If you are more than 10 minutes late in collecting your child, there will be a late collection fee that will be added. Please note that student safety is very important, the same way that school will report abandonment of a child if a parent is very late.
3f. Please read the examples below
3g. At times students may take holidays, the procedure for this is below
Example:- HOLIDAYS:- "My child wont be coming for the next month as we are going on holiday to see family abroad" - There needs to be at least 2 weeks written notice given for this, i.e what dates you are going and returning on a holiday, as well as when you are returning. If you are going to be away for more than 2 lessons, you have to pay a place/seat reservation fee of £35 (non-refundable) which will need to be paid to ensure that there is a place for when your child returns, (this does not go towards any lesson payments). - Why? It is difficult to keep a students place, when there are other paying students ready to take a place for tuition, as there are students on a waiting list.
3h. When parents or guardians request time off for parties, weddings, religious events, celebrations, you must to follow the lesson cancellation rules.
4. Reporting Absence/Sickness
If your child is unwell, you need to text or call us as soon as possible. Read below when you need to do this:-
Please do not send your child to tuition if they have vomiting and diarrhoea in the past 48 hours.
4a. WEEKDAY STUDENTS
If your child has a lesson at 5:00pm on a week day, then you should inform us by 9:00am ON THE SAME DAY. Messaging 20mins before the lesson is unacceptable.
4b. WEEKEND STUDENTS
If your child has a lesson on a weekend, then you should inform us by 11:00pm ON FRIDAY or BEFORE 9:00am on Saturday.
4c. If you are isolating due to Covid, you need to message to inform us for that reason.
Why? This allows other students to attend additional lessons for extra support.
5. No Show
5.1 This is when a lesson has been booked and confirmed and the student has not turned up AND no message has been sent from the parent/guardian saying why they will not be attending. When this happens, a FULL charge is given. The charge is only removed if the parent/guardian has fully explained the reason and it is a reason that could not have been prevented, e.g. a car accident, death of family member and so on. Simply saying, “sorry we didn’t have time to come” is unacceptable and a full charge is required.
5.2 When you have paid for an online lesson, it is your responsibility to attend on time. Simply saying, "I didn't check my phone" is not acceptable or professional. Times are booked out for students to learn and this needs to be adhered to.
6. Bad Weather
There may be at times where Bad Weather may prevent a student from attending. If you have not received any notification that tuition is closed, then it is open. You will need to text or call to say that you are unable to attend due to excess snow in your area.
7. Rewards and Behaviour
7.1 If your child shows that he or she has improved in an exceptional way, a reward will be given to them in the form of a certificate or a medal. We will check with you in terms of name spelling before this is presented.
7.2 Poor behaviour will not be tolerated during tuition lessons. If your child has presented poor behaviour, depending on what the incident is, action will be taken to mediate and resolve this.
7.3 The staff in the network of private tutors work tremendously hard to provide the very best education for your children/students and always want to work in partnership with parents and the wider community. However, we recognise that there will be occasions where, for whatever reason, parents may not agree with a particular course of action or may have specific concerns. It is entirely natural to discuss tuition and express our thoughts and opinions with others face to face or on the phone. Sadly, some of these comments and observations could cause offence if aired in the public domain, and may in some cases be intimidating or even slanderous. This is not to suggest that tutors are above criticism or do not welcome feedback. However, it is always best when this is constructive and reasonable and is focused on finding an acceptable solution. When difficult things need to be said, it is usually best to do so in a private meeting via face-to-face, or at least in some form of private communication, such as an e-mail or a letter.
7.4 If anything is said, posted or another form of communication is used, that is considered to be threatening or discriminatory, then the Police may become involved and have the authority to intervene and seize mobile devices and contact service providers. Intimation and threatening behaviour towards staff will not be tolerated.
These rules are here to safeguard students and staff. Please note that we have a right to terminate all lessons if the rules are not followed, charges/fines are not paid and if further conflicts arise. At all times we will try our best to resolves any issues, however any repetitions of issues will therefore be seen as ignoring the rules and therefore will result in an immediate termination of lessons.
